SECTION 01

Overview

B-IT is pleased to present this proposal for the design and development of a Smart HR & Attendance Management Application for DRBZ Hospitality Group. The solution replaces manual attendance tracking with a secure, location-aware mobile app that ties directly into payroll, so that lateness, absence and leave are reflected in salary calculations without manual reconciliation.

The web administration dashboard and backend are already built and running on B-IT's existing platform. This engagement customises and extends that proven foundation - shortening delivery time and reducing risk. The new mobile application connects to this backend, enforcing the attendance, deduction and leave rules defined by DRBZ Hospitality Group.

SECTION 03

Scope of Work

Smart Geofencing

Location-aware check-in/check-out. On-site shifts enforce the approved worksite radius, while employer-assigned remote shifts retain the current coordinates without a radius check.

Secure Device Authorization

The device owner authorizes clock-in and clock-out using Face ID, Touch ID, the iOS device passcode, or supported Android biometrics. The app sends a cryptographic signature, never a face photo or biometric template.

Self-Service Portal

Employees raise leave, permission and official excuse requests, attach supporting documents, and track approval status - all from inside the app.

Approval Workflow & Alerts

Each request triggers an instant push notification to the direct manager for one-tap approval or rejection, with the employee notified of the outcome in real time.

Real-Time Manager Dashboard

Live view of who is present, late, absent or on leave, with daily and monthly attendance summaries available at a glance.

Role-Based Access Control

Four roles - Employee, Direct Manager, HR Officer and General Manager - each restricted to the data within their own scope of responsibility.

Payroll Integration

Direct link to the payroll system so that lateness, absence and leave deductions flow through to salary calculations automatically.

Attendance & Deduction Engine

Automated lateness, deduction, absence and 8-hour shift logic applied exactly as defined in the business rules.

Attendance & Deduction Rules

Condition System Behaviour
Check-in 9:00 - 9:30 AM Recorded as late only - no deduction applied.
Check-in 9:30 - 10:00 AM One hour deducted at the hourly rate.
Check-in after 10:00 AM Login is rejected - system blocks attendance entry.
No check-out within 1 hour of leaving Day automatically counted as absence.
Absence handling Fixed daily deduction applied and recorded against configured salary.
Annual leave Leave balance tracked and automatically deducted upon approved request.
8-hour shift timer 8-hour countdown begins at check-in; check-out enabled only after completion.

Assumptions & Notes

Worksite location(s), shift times, deduction values and reference salary will be confirmed during Week 1.
The one-month timeline assumes timely feedback and approvals from DRBZ Hospitality Group at each phase.
Scope changes beyond this proposal will be quoted separately before any work begins.
Post-launch support and maintenance can be arranged under a separate agreement.
